Sustainability Policy

Policy Statement

Back Office Marketing recognises the importance of environmental sustainability and is committed to conducting its business in a responsible manner that minimises unnecessary environmental impact.

As a business providing marketing services and digital marketing mentoring, we recognise our responsibility to adopt environmentally conscious working practices and encourage our clients to consider sustainability in their own business operations.

We aim to minimise waste, conserve resources, use digital technologies responsibly and make informed decisions that support environmental protection. We believe that sustainable business practices can contribute to operational efficiency, long-term business resilience and positive environmental outcomes.

This policy applies to the activities of Back Office Marketing and informs our approach to providing advice, guidance and mentoring to clients.

Our Environmental Objectives

Back Office Marketing is committed to the following objectives:

  • Reduce unnecessary consumption of paper, office materials and other resources.
  • Minimise waste and encourage reuse and recycling wherever practicable.
  • Use energy and digital technologies responsibly.
  • Reduce avoidable business travel where suitable alternatives are available.
  • Promote responsible purchasing and consideration of environmental impacts when selecting products and services.
  • Encourage clients to identify practical opportunities to improve their environmental performance.
  • Promote honest, accurate and evidence-based environmental communications.
  • Review our working practices regularly and identify opportunities for continuous improvement.

Sustainable Business Operations

3.1 Paper and resource conservation

We will prioritise digital documentation, electronic communications and online collaboration wherever appropriate. Printing will be limited to situations where it is necessary, with paper used efficiently and recycled paper considered where suitable.

We will seek to avoid unnecessary promotional materials, minimise disposable office supplies and reuse materials where practical.

3.2 Waste management

We will aim to reduce waste at source by purchasing only what is needed, reusing suitable materials and separating recyclable waste in accordance with available facilities and applicable requirements.

Where electronic equipment or other specialist waste requires appropriate disposal, we will seek to use suitable collection or recycling arrangements.

3.3 Energy efficiency

We will seek to minimise unnecessary energy consumption by using lighting and electronic equipment efficiently, switching off equipment when not required and considering energy efficiency when selecting or replacing equipment.

Where relevant, we will review opportunities to improve energy efficiency in our working environment.

3.4 Travel and meetings

We will use telephone and video meetings where appropriate to reduce unnecessary travel. Where in-person meetings are beneficial or required, we will seek to plan journeys efficiently and combine appointments where practicable.

3.5 Responsible procurement

When purchasing office supplies, equipment and business services, we will consider durability, quality, necessity, energy efficiency, packaging and opportunities for reuse or recycling, where relevant.

We will also consider whether existing resources can be used effectively before purchasing additional products or services.

Sustainable Digital Marketing Practices

As a digital marketing business, we recognise that online activity also uses energy and resources. We will aim to use digital tools purposefully, avoid unnecessary duplication of software and digital files, and select services according to business requirements.

In our work with clients, we will encourage sustainable marketing practices, including:

  • Using digital communications instead of unnecessary printed promotional materials where appropriate.
  • Planning marketing campaigns carefully to avoid overproduction and waste.
  • Creating relevant, purposeful content that supports business objectives.
  • Considering the environmental implications of promotional merchandise, packaging and printed materials.
  • Using digital tools efficiently and avoiding unnecessary subscriptions or duplicated systems.
  • Communicating environmental initiatives honestly and avoiding unsupported environmental claims.

We recognise that digital alternatives are not automatically impact-free. Our approach will therefore focus on proportionate, practical choices that minimise unnecessary resource use.

Supporting Clients in Environmental Sustainability

Back Office Marketing is committed to incorporating environmental awareness into its business mentoring and advisory services where relevant to the client’s needs and the scope of the engagement.

We will encourage micro and small enterprises to consider practical improvements in areas such as waste reduction, resource conservation, energy efficiency, responsible purchasing and sustainable marketing.

Our approach may include:

  • Helping clients identify opportunities to reduce unnecessary paper, packaging and promotional-material waste.
  • Encouraging efficient use of resources and appropriate digital alternatives.
  • Providing practical sustainability checklists and simple action-planning tools.
  • Signposting clients to relevant environmental guidance and support programmes.
  • Encouraging clients to review progress and identify further opportunities for improvement.
  • Promoting clear, accurate and evidence-based environmental communications.

Advice will be proportionate to the client’s sector, business size and operational circumstances. Where specialist environmental assessments or regulatory advice are required, clients will be encouraged to consult appropriately qualified professionals.

Environmental Legislation and Guidance

Back Office Marketing recognises that environmental requirements vary according to business activities and applicable legislation.

We will seek to remain aware of relevant environmental guidance and requirements applicable to our own operations and will encourage clients to consult authoritative sources relevant to their industries.

These may include the Environmental Protection Agency, local authorities and the Sustainable Energy Authority of Ireland, as appropriate.

We will also encourage responsible environmental marketing and ensure that any environmental claims made on behalf of Back Office Marketing are accurate and capable of being substantiated.

Where a client requires advice on specific legal obligations, technical compliance or specialist environmental matters beyond our competence, we will recommend that they seek appropriate professional guidance.

Responsibilities and Implementation

Helen Leddy, Director of Back Office Marketing, is responsible for overseeing this policy and promoting its implementation throughout the business.

Environmental considerations will be incorporated into relevant operational decisions and client advisory work. We will seek to apply the principles of this policy in a practical and proportionate manner, taking account of the scale and nature of our business activities.

Where appropriate, we will encourage suppliers and other business partners to consider environmentally responsible practices.

Monitoring and Continuous Improvement

Back Office Marketing is committed to reviewing its environmental performance and identifying realistic opportunities for improvement.

We will periodically consider our use of paper and other materials, waste-management practices, energy consumption, travel and use of digital resources.

Where practical, we will identify actions to improve performance and review progress as part of our normal business planning.

We recognise that environmental sustainability is an ongoing commitment. We will seek to learn from good practice, keep our approach relevant and strengthen our environmental performance over time.

Policy Review and Communication

This policy will be reviewed annually, or earlier where there are significant changes to our business activities or relevant requirements.

The policy will be made available to relevant stakeholders upon request and may be used to communicate our environmental commitments to clients and business partners.

Back Office Marketing is committed to taking a responsible, practical and continuous-improvement approach to environmental sustainability, both in our own operations and in the support we provide to the businesses we mentor.
